Academic Standards Policy

ILC fosters a culture of honesty, fairness, and responsibility.
Students and teachers are expected to:

  • Demonstrate academic honesty in all coursework, tests, and assessments.
  • Avoid plagiarism, cheating, falsification of results, or any form of academic misconduct.
  • Uphold respect, cooperation, and integrity within the classroom environment. 
    Violations of academic integrity may result in disciplinary action according to ILC’s internal regulations and Malaysian education laws.

Our curriculum is built on CEFR (Common European Framework of Reference for Languages), ensuring internationally recognised standards from Beginner (A1) to Advanced (C1–C2) levels.

In compliance with KDN and EMGS regulations, international students must maintain at least 80% attendance.

  • Students with low attendance risk suspension or reporting to relevant authorities in accordance with KDN immigration requirements.

Academic misconduct includes plagiarism, cheating, falsifying information, or disrupting the learning environment.

Students are expected to:

Academic Support Policy

At Interlink Language Centre (ILC), we are dedicated to helping every student succeed through comprehensive academic and personal support.
Approved by the Ministry of Education (KPM), Ministry of Home Affairs (KDN), Jabatan Pendidikan Wilayah Persekutuan Kuala Lumpur (JPWPKL), and Education Malaysia Global Services (EMGS), ILC ensures that all learners local and international receive the guidance and resources they need to achieve their language goals with confidence.

The purpose of this policy is to:

  • Promote continuous academic progress for all students.
  • Provide individual assistance for students experiencing learning difficulties.

ILC offers a wide range of academic support designed to assist students at all CEFR levels (Beginner to Advanced):

Accessible Customer Service Policy

Anti-Bullying / Anti-Harassment / Anti-Discrimination Policy

At Interlink Language Centre (ILC), we believe every student, teacher, and staff member deserves to learn and work in an environment built on respect, dignity, and equality.
ILC strictly upholds a zero-tolerance policy against any form of bullying, harassment, or discrimination. Our goal is to ensure a safe, supportive, and inclusive atmosphere for everyone within our community.

This policy complies with standards set by the Ministry of Education (KPM), Ministry of Home Affairs (KDN), Jabatan Pendidikan Wilayah Persekutuan Kuala Lumpur (JPWPKL), and Education Malaysia Global Services (EMGS), as well as relevant provisions under Malaysian law, including the Employment Act 1955 and Persons with Disabilities Act 2008.

Bullying
Repeated behaviour that intimidates, humiliates, or harms another person physically, verbally, or emotionally.
Examples include teasing, spreading rumours, social exclusion, cyberbullying, or threats.

Harassment
Any unwelcome conduct verbal, physical, written, or digital that offends, humiliates, or creates a hostile environment.
This includes sexual harassment, gender-based harassment, or offensive jokes or comments.

Discrimination
Unfair treatment of an individual based on race, religion, gender, age, nationality, disability, or any personal characteristic.
All decisions, actions, and interactions at ILC must reflect fairness and equality.

ILC is committed to:

  • Maintaining a learning environment free from bullying, harassment, and discrimination.
  • Promoting mutual respect and understanding among all members of the school community.

Bring Your Own Device (BYOD) Policy

At Interlink Language Centre (ILC), we recognise that personal devices such as laptops, tablets, and smartphones are valuable tools for language learning and communication.
This Bring Your Own Device (BYOD) Policy outlines how students, teachers, and staff may responsibly use their personal electronic devices for academic and administrative purposes while ensuring privacy, safety, and compliance with Malaysian education regulations.

This policy supports the standards of the Ministry of Education (KPM), Ministry of Home Affairs (KDN), Jabatan Pendidikan Wilayah Persekutuan Kuala Lumpur (JPWPKL), and Education Malaysia Global Services (EMGS).

This policy applies to all:

  • Students, both local and international
  • Teachers and administrative staff
  • Visitors or contractors using ILC’s network or digital platforms

It covers all personally owned devices used within ILC premises or connected to ILC’s internet and Wi-Fi networks.

Personal devices may be used for educational and professional purposes only. Acceptable uses include:

  • Accessing learning platforms, e-resources, and digital dictionaries
  • Completing assignments, research, and communication with instructors
  • Participating in online classes or collaborative study activities

Unacceptable uses include:

  • Accessing, downloading, or sharing inappropriate or illegal content
  • Recording audio, video, or images of staff or students without consent
  • Playing games, streaming entertainment, or using social media during class time
  • Engaging in bullying, harassment, or discrimination through digital communication
  • Users may connect their devices only to the official ILC Wi-Fi network after authorisation.
  • Devices must have updated antivirus software and use password protection.
  • Users must not attempt to bypass security systems or access restricted files or systems.
  • ILC may monitor network activity to ensure safe and compliant use.

All users must respect the privacy of others and handle personal or institutional data responsibly.

  • Students and staff must not share passwords or sensitive information.
  • Personal data collected during school activities must comply with the Personal Data Protection Act 2010 (Malaysia).
  • Devices should automatically lock when unattended and be secured against unauthorised use.

Students:

  • Use devices responsibly and strictly for learning purposes.
  • Follow teacher instructions regarding device use in class.
  • Report any misuse or security concerns immediately.


Teachers and Staff:

  • Supervise and guide responsible use of technology.
  • Integrate digital learning appropriately into lessons.
  • Report any policy violations to the administration.


Administration:

  • Maintain secure Wi-Fi access and update the BYOD policy regularly.
  • Provide guidance and support for technology use.

ILC is not responsible for:

  • Loss, theft, or damage of personal devices while on school premises.
  • Data loss or corruption that occurs while connected to ILC networks.
    All personal devices remain the property and responsibility of their owners.

Violation of this policy may result in:

  • Temporary or permanent loss of network privileges
  • Disciplinary action under ILC’s Code of Conduct
  • Referral to authorities if the violation breaches Malaysian law

  • Follow all safety and health regulations while on campus.
  • Dress neatly and appropriately for a professional learning environment.
  • Use school property and digital resources responsibly.
  • Maintain at least 80% attendance in accordance with KDN and EMGS requirements.


Prohibited behaviours include:

  • Bullying, harassment, or discrimination of any kind.
  • Cheating, plagiarism, or other forms of academic dishonesty.
  • Damaging property, engaging in theft, or disruptive behaviour.
  • Using personal devices for non-academic or inappropriate purposes during class.

Teachers and staff members must:

  • Uphold professional ethics, confidentiality, and integrity.
  • Treat all students and colleagues with fairness and respect.
  • Avoid any form of harassment, discrimination, or conflict of interest.
  • Maintain punctuality, preparedness, and quality in teaching or administrative duties.
  • Serve as role models of excellence and good conduct.
  • Protect student data and uphold privacy in accordance with the Personal Data Protection Act 2010 (Malaysia).

All community members must use technology responsibly and follow ILC’s Bring Your Own Device (BYOD) and Academic Standards policies.
This includes:

  • Avoiding cyberbullying, offensive messages, or unauthorised sharing of personal data.
  • Refraining from recording or photographing others without consent.

Violations of this Code of Conduct will result in appropriate action based on severity.

Deceptive Enrolment Policy

Interlink Language Centre (ILC) is committed to maintaining the integrity of its student enrolment processes and upholding all Malaysian education and immigration regulations.
This policy defines ILC’s stance against deceptive enrolment practices, which involve any attempt to obtain admission or a student visa through false, misleading, or dishonest means.

ILC operates under approvals from the Ministry of Education (KPM), Ministry of Home Affairs (KDN), Jabatan Pendidikan Wilayah Persekutuan Kuala Lumpur (JPWPKL), and Education Malaysia Global Services (EMGS).

Deceptive enrolment is illegal under Malaysian law and will not be tolerated.

Deceptive enrolment refers to any action by an applicant, student, or third party to misrepresent information for the purpose of:

  • Obtaining a Malaysian student visa (student pass) without genuine study intentions.
  • Using the student visa to work illegally, engage in business, or remain in Malaysia for non-study purposes.
  • Submitting forged, altered, or fraudulent documents during the application or enrolment process.
  • Providing false statements about prior education, financial capacity, or personal background.
  • Colluding with agents, sponsors, or others to obtain a visa under false pretences.
  • Enrolling under a false identity or through unauthorised intermediaries.

ILC complies with the following authorities and legislation:

  • Kementerian Pendidikan Malaysia (KPM) – Ministry of Education Malaysia
  • Kementerian Dalam Negeri (KDN) – Ministry of Home Affairs
  • Jabatan Pendidikan Wilayah Persekutuan Kuala Lumpur (JPWPKL)

Under Malaysian law, providing false information to obtain a student visa constitutes an offence that may result in visa cancellation, deportation, and criminal prosecution.

ILC implements strict verification measures to prevent deceptive enrolment, including:

  • Examination of original academic and identification documents.
  • Verification of passport and visa details.
  • Cross-checking of qualifications and prior education.
  • Interviews to confirm genuine study intentions.
  • Review of financial statements to confirm ability to meet living and study expenses.
  • Ongoing attendance and progress monitoring for compliance with KDN and EMGS requirements.

When deceptive enrolment is suspected, ILC will:

  1. Conduct an internal review of all documents and communications.
  2. Notify the applicant or student in writing of the concern.
  3. Suspend visa support until verification is complete.
  4. Conduct interviews or request additional documentation.
  5. Report confirmed cases to EMGS, KDN, or relevant immigration authorities.

If deception is proven, ILC may:

  • Cancel the student’s enrolment immediately.
  • Withdraw visa support or endorsement.
  • Report the case to KDN, EMGS, or Immigration Malaysia.
  • Deny any tuition fee refunds in accordance with ILC’s refund policy.
  • Prohibit re-enrolment or future applications.

All actions will be documented, and the student will be notified in writing.

All students are required to:

  • Provide accurate and truthful information at all times.
  • Submit only authentic and verifiable documents.
  • Notify ILC immediately of any change in visa or personal status.
  • Attend classes regularly (minimum 80% attendance, as required by KDN/EMGS).
  • Use their student visa solely for education at ILC.


Failure to comply may result in disciplinary action or termination.

All ILC staff involved in admissions must:

  • Verify all applications and supporting documents carefully.
  • Report any suspicious information to the Admissions Department.
  • Keep all records secure and confidential.
  • Undergo regular training in fraud detection and visa compliance.
  • Ensure that all data is handled in accordance with the Personal Data Protection Act 2010 (Malaysia).

All personal information obtained during application or investigation will remain confidential.
Access is limited to authorised personnel only and used solely for verification and compliance purposes.

Students who wish to appeal an adverse decision related to deceptive enrolment must submit a written request within seven (7) working days of notification.
Appeals must include evidence supporting their claim.

Discipline Policy

We believe that discipline is not only about enforcing rules but also about developing responsibility, self-respect, and respect for others in a multicultural educational community.

This policy applies to:

  • All students (local and international) enrolled at ILC.
  • All staff, teachers, and administrators responsible for student supervision.
  • All on-campus and off-campus activities, including online classes, excursions, and events organised under ILC.

Withdrawal Before Course Commencement

If a student withdraws at least 30 days before the course start date, a refund may be granted after deduction of the registration and administrative fees.

Withdrawal After Course Commencement

Course Cancellation or Deferral by ILC

If ILC cancels, postpones, or fails to deliver a scheduled course, affected students may choose to transfer fees to another intake or receive a full refund of tuition fees (excluding EMGS or third-party charges).

Medical or Compassionate Grounds

Refunds may be granted in exceptional cases involving severe illness, accidents, or family emergencies, provided that supporting documents (e.g., medical certificates) are submitted and verified.

This procedure applies to all individuals present at any ILC campus, including:

For international students holding a Malaysian student visa, there are mandatory immigration procedures that must be followed after course completion or withdrawal. ILC provides guidance to help students remain compliant with Malaysian immigration regulations until departure

What Is a Check-Out Memo?

A Check-Out Memo is an official immigration notification issued after an international student completes their course or decides to discontinue studies and return to their home country. This process formally informs Malaysian Immigration that the student is no longer studying in Malaysia.

Who Must Apply?

  • All international students holding a student visa
  • Students who completed their course
  • Students who quit, withdraw, or terminate their studies early

 

Why the Check-Out Memo Is Mandatory

Failure to apply for a Check-Out Memo will cause immigration records to show that the student is still residing in Malaysia, even if the student has already completed studies or left the country.

What Is an Overstay?

An overstay occurs when a student remains in Malaysia after their student visa or Special Pass has expired without valid immigration approval.

Overstaying is a violation of Malaysian immigration law and should be avoided at all costs.

Overstay Penalties

If an overstay occurs, students must apply for overstay clearance before leaving Malaysia. The penalties are as follows:

  • 1–30 days overstay
    → RM30 per day
  • 31–90 days overstay
    → RM2,000 penalty + RM30 per day

    → Student must face immigration interrogation and judgement
    → The school will NOT be able to process the overstay
